4. Online Appointment Booking

On our website, we offer you the option to submit an online appointment request.

a. If you use our online appointment booking system
You can register for our online appointment booking system and use it to schedule appointments. You will receive an email containing a link to confirm your registration. Once you have completed your initial registration, you will be able to select and book an appointment.
For this purpose, we collect the personal data required for our online appointment booking system, including registration and appointment reminders. This includes, in particular, your basic personal data (such as your name), registration data (email address), communication data (IP address, mobile and landline phone numbers, etc.), and your date of birth. If you use our online appointment booking system on behalf of other individuals, we also collect the first name, last name, and date of birth of the respective person.
Your data will be stored by us until you delete your account, allowing you to track your appointments. You may delete your account yourself at any time.
You may object to the processing of your data at any time with future effect. The lawfulness of the data processing carried out prior to your withdrawal remains unaffected.

b. If you use our online portal
Once you have activated your online account, you will be able to manage your documents online (e.g. invoices).
For this purpose, we collect the personal data required for the use of our online portal. This includes, in particular, your basic personal data (such as your name), registration data (email address), communication data (IP address, mobile and landline phone numbers, etc.), and your date of birth.
Your data will be stored by us until you delete your account.
You may object to the processing of your data at any time with future effect. The lawfulness of the data processing carried out prior to your withdrawal remains unaffected.

(1) Legal Context
The processing of personal data within the scope of our online appointment booking system and/or our online portal is carried out for the initiation, performance, and administration of the respective contractual relationship (Art. 6 para. 1 lit. b GDPR).
If you use the online appointment booking system to schedule an appointment for another person, the processing of the corresponding personal data is carried out on the basis of our legitimate interest (Art. 6 para. 1 lit. f GDPR).
For the use of the online appointment booking system and/or the online portal, it is necessary for us to process certain personal data (e.g. basic personal data).
As part of the required balancing of interests, we have weighed the respective person’s interest in the confidentiality of their personal data against our interest in providing the online appointment booking system and/or the online portal. In this context, the interest in confidentiality is overridden, as we would otherwise not be able to provide the online appointment booking system and/or the online portal.
(2) Categories of Recipients
We use service providers to operate our online appointment booking system and online portal. For this purpose, we transfer personal data to these service providers. These service providers are contractually obligated to exercise the same level of care in handling personal data as we do ourselves.
Our service is hosted in a German data center. Personal data is stored in this data center in encrypted form (AES 256). We maintain our own encryption key, which means that third parties have no possibility of accessing or using this data. By using state-of-the-art security systems, we ensure the highest possible level of data protection. All data transmissions within the scope of our services are encrypted.
